Hi! Nikhil here. I want to share the story of how this company actually started, because the answer surprised me too. I’ve been running Viral Mafia, my digital marketing agency, since 2017. For years I watched the same pattern with our clients: we’d generate leads, but the conversions didn’t come, and that sent us digging into lead quality, sales follow-ups, sales team performance, every angle we could find. Salesgem is the tool we built to fix that conversion problem – first as an internal tool for ourselves, then for our clients.
The lead quality complaint that wasn’t really about lead quality
At Viral Mafia, we’ve run ad campaigns on Facebook, Google, Instagram, and other platforms for healthcare clinics, coaching businesses, solar installers, real estate brokers, and pretty much every industry that buys paid leads.
For a long time, we treated the brief as: generate more leads, generate cheaper leads, generate better-qualified leads. So we kept iterating on creative, audiences, landing pages, ad copy. Lead volume went up, cost per lead came down. Clients kept complaining about lead quality anyway.
At some point we stopped accepting that brief at face value and started asking different questions. What’s actually happening to a lead after we hand it over? Who calls them? When? What gets logged? When does the second touch happen?
The answers were almost identical across clients:
- Leads were sitting in CSV exports for hours, sometimes a full day, before anyone called.
- Multiple salespeople were calling the same lead. Or worse, no one was.
- Nobody could tell me what happened to a lead after the first call.
- “Follow-up” meant a sales rep remembering to call back if they felt like it.
This wasn’t a lead quality problem. It was a follow-up problem dressed up as a lead quality problem. And it was costing me retainers — because when a client cancels, they cancel the agency, not their own follow-up process.
CSV downloads, then Google Sheets, then the realization
The first thing we tried was logistical. Stop making clients download leads themselves. We started pulling them from Facebook and sending across daily. Then we moved everyone to Google Sheets – one shared sheet per client, leads dropped in as they came.
Sheets fixed the “where are the leads” problem. It did not fix the “who’s calling and when” problem.
The moment it broke completely was when clients started having more than one salesperson. A spreadsheet has no concept of assignment. No reliable reminders. No history of what was said on the last call. The sales team either ignored it or fought over it.
So we went looking for a CRM.
Why existing CRMs failed the sales team
I’m not going to name names, every salesperson reading this already knows. We pushed clients toward the well-known options. Some signed up, almost none stuck.
The pattern was always the same: the sales team would log in once, find a hundred fields they didn’t need, decide it was easier to just use the sheet, and quietly stop opening the CRM. The product was fine on paper. It was wrong for a four-person sales team at a clinic that just needed to know which lead to call next.
What these tools were missing wasn’t features. It was the opposite, they had too many. A clinic owner doesn’t need pipeline stages built for an enterprise procurement cycle. They need: a lead came in from Instagram, here’s the phone number, here’s whose turn it is to call, here’s what happened last time.
Building it ourselves, as an internal tool
So we built one. Originally just for Viral Mafia clients.
The first version was small on purpose. Capture the lead from Facebook automatically. Assign it to a rep. Show it on their phone. Track whether the call happened and what came of it. That was it.
We rolled it out to a few clients. Adoption was immediate in a way it had never been with any third-party CRM, because the product wasn’t trying to do everything. Conversion rates went up. The “lead quality” complaints quieted down. Clients started recommending it to their friends – that part wasn’t planned.
When the inbound from those referrals started outpacing what we could reasonably handle as an agency favor, we made it a product. That product is Salesgem.
What Salesgem is now
The wedge hasn’t changed since the internal-tool days. We just sharpened it. Salesgem is a lightweight B2C lead management CRM for small businesses and agencies running Meta and WhatsApp lead ads, built around six things:
- Facebook and Instagram Lead Ads capture in under 10 seconds. The lead goes from the ad form to the assigned rep’s phone before they’ve closed the tab. No CSVs. No daily handoff. (how the Facebook Lead Ads CRM works)
- WhatsApp follow-up built in. Most of our customers, follow up on WhatsApp before they call. We use the official WhatsApp Business API so the conversation lives in the CRM and not on someone’s personal phone. (more on the WhatsApp integration)
- Meta Conversions API integration. Closed-loop reporting back to Meta, so the ad algorithm learns from real conversions, not just form fills.
- Mobile app on Android and iOS. Salespeople work from their phone. The CRM has to be there too, not stuck on a desktop.
- Pipeline, tasks, team monitoring, reports. The bits a small sales team actually uses, without the bits an enterprise procurement committee needs.
- Agency Mode for multi-client management, built because we needed it ourselves at Viral Mafia, and because every agency owner I talk to has some version of the same problem we had.
Pricing stays lightweight on purpose. We’re not trying to be HubSpot, Salesforce, or Zoho. They exist. We’re trying to be the tool a clinic, a coaching business, a solar installer, or a real estate brokerage can stand up in an afternoon, get the sales team to actually use, and stop losing leads to slow follow-up.
What’s next
We’re improving the platform continuously. We listen to real feedback from customers and use it to make Salesgem more useful day by day. The goal hasn’t changed: build something useful and affordable for small businesses.
More coming through 2026. The team is actively building, and I’ll write about what ships once it ships, not before. Global rollout is accelerating too: a growing share of our inbound now comes from outside India, and we’re investing globally.
But the thesis is the same as it was the day we built version 1 as an internal tool: most small businesses don’t lose deals because the lead was bad. They lose deals because nobody called fast enough. Fix the ten minutes after a lead form gets submitted, and the rest of the funnel mostly takes care of itself.
If you’re running Facebook or Instagram lead ads and your sales team is still working out of a spreadsheet, give Salesgem a try. The product gets better every time a customer tells us what’s wrong with it, and I’d like to grow this with you.

Thank you for your time.
